The Home Care Scheduler plays a critical role in coordinating caregiver assignments to ensure seamless, timely, and effective delivery of services to clients. This role requires exceptional organizational skills, attention to detail, and the ability to adapt to changing client and caregiver needs.
Schedule and coordinate caregiver assignments based on client needs, preferences, location, and availability.
Maintain daily and weekly schedules for caregivers and promptly address any gaps or changes.
Communicate schedule updates and changes to caregivers and clients in a timely manner.
Respond to caregiver call-offs and client requests with urgency and professionalism.
Monitor clock-ins, clock-outs, and ensure shift coverage is met.
Maintain accurate documentation of schedules, client service hours, and caregiver availability in scheduling software.
Work closely with recruiters, care coordinators, and clinical staff to ensure quality service delivery.
Assist in onboarding new caregivers by scheduling initial shifts and orientations.
Provide exceptional customer service to clients, families, and field staff.
Participate in on-call rotation as needed.
High school diploma or equivalent; associate’s degree or higher preferred.
1+ years of experience in home care, healthcare, or staffing/scheduling roles preferred.
Strong computer skills; experience with scheduling software (e.g., ClearCare, AlayaCare, MatrixCare, or similar) is a plus.
Excellent communication and interpersonal skills.
Strong problem-solving and time management abilities.
Ability to remain calm and professional under pressure.
Must be organized, detail-oriented, and dependable.
Bilingual a plus, but not required.
Office-based position in Pittsburgh, PA 15203.
Must be available to participate in on-call or after-hours support as needed.
